Phase 1


  • Determine the total budget for the venue
  • Decide on rehearsal venue; after brunch
  • Review options for preferred date/time
  • Review any special menus (ethnic, dietary)
  • Confirm ceremony & reception locations
  • Decide on officiate for ceremony
  • Establish room blocks & rates
  • Contract DJ/band; florist; videographer/photographer
  • Ground transportation requirements for bridal party (including horse & carriage)
  • Choose your Wedding Planner
4-6 Months Out

Phase 2


  • Send out ‘Save the Date’ cards with RSVP
  • Create menus with Wedding Planner
  • Meet with your chosen Cake Designer
  • Decide on linens & table layouts with Wedding Planner
  • Set spa appointments
  • Make arrangements for hair, makeup, nail
  • Determine if childcare will be needed
2 Months Out

Phase 3


  • Set menu & cake tastings
  • Confirm guest count
  • Confirm room blocks needed
  • Review timeline with Wedding Planner
  • Finalize seating arrangements
